The paper a single shipment produces
One transport involves the CMR waybill, a delivery note and packing list, the signed proof of delivery, often a weighing slip, for dangerous goods the transport document and, where pallets are exchanged, a pallet note. These documents are created in different places and reach the office at different times, partly from the driver, partly from the customer, partly from the subcontractor. Without a shared identifier in the filename they are practically impossible to reunite two weeks later, because nobody opens every file individually.
The shipment number as anchor field
The shipment or order number is the only field that appears on every document belonging to a transport. That is why it belongs in the filename, in a fixed position. Date and document type complete it. If customer and route are wanted as well, they follow behind, otherwise the name gets too long. After that, a search in the file manager makes every shipment fully visible in one keystroke, without maintaining a separate index.
Customs and proof of export
Exports add the export accompanying document and the exit confirmation from the customs procedure, transit adds the transit accompanying document, plus commercial invoices and preference certificates. These papers are the basis for the VAT exemption of an export delivery and are sampled during an audit. If the exit confirmation is filed under the shipment number, answering such a request takes minutes. If it sits under a customs reference nobody can place any more, it turns into an afternoon.
Claims, liability and limitation periods
In cases of transport damage, the signed proof of delivery decides whether a reservation was noted in time. The CMR convention sets a short limitation period for claims from cross-border transports, extended only in cases of intent. Within that window the evidence has to be at hand, and not as a photo in an email attachment but in the shipment folder. A consistent filename is the cheapest possible precaution, because it requires no additional software.
Monthly settlement with carriers
If you work with subcontractors, at month end you reconcile freight invoices or self-billed credits against the jobs actually driven. Every invoice names shipment numbers, every shipment has a proof of delivery. If both files carry the same number in their name, the reconciliation becomes a sort rather than a search. The same applies to toll records and demurrage claims, which are likewise tied to individual transports and otherwise can only be assigned after opening several files.
Scans, languages and the analysis route
Waybill copies are rarely clean: carbon paper, stamps, creases. For such scans without a text layer the OCR can be switched on, though recognition still depends on quality. That is why you see a suggestion before every rename. The freight paper is read on your computer, its text content handed over encrypted to the AI analysis, and only the detected details come back; renaming then takes place on the device again, without the documents being kept in storage.
