3. Data Processing when Using Filery Rename

3.1 Application Architecture

Filery Rename is a desktop application that is installed on your device and runs there. The documents you want to process are analyzed on your device, but the extracted text is sent to AI services for analysis and the resulting metadata is stored encrypted on our servers.

3.2 Text Extraction and AI Analysis

For text extraction and analysis of document content, we use the following services:

• OpenAI (GPT-4o-mini): For text analysis and extraction of relevant information
• Anthropic (Claude-3.5-Sonnet): For advanced text analysis for premium users

When using these functions, the text extracted from your documents (not the complete documents) is transmitted to the servers of our AI service providers. The results of this analysis are then stored as metadata encrypted with your personal key on our servers. We have entered into data processing agreements with these service providers and ensure that data processing is in accordance with GDPR.

3.3 Metadata Storage

The metadata extracted from your documents is encrypted with your personal key and stored on our servers. This metadata includes information such as document type, date, sender, recipient and other structured information extracted from the document.

3.4 Account Data

For the use of premium features, the following data may be processed:

• Email address
• First and last name
• Payment information (processed by our payment service provider)
• Usage statistics (number of processed documents)

The processing of your personal data is based on various legal bases in accordance with Art. 6 GDPR:
