Structure and name PDF files for Dropbox

In Dropbox several people usually work in the same folders, and few of the files were created there. Clients send Angebot_final_final2.pdf, contractors deliver Rechnung.pdf, the browser produces download (3).pdf. After two projects the client folder is a guessing game. The leverage sits where a file moves into the shared folder: that is the moment that decides what name everyone else will see later.

Foreign names are the normal case

Unlike a purely private archive, filenames in shared Dropbox folders mostly come from outside. They follow the sender's conventions or no recognisable rule at all. You cannot fix that at the source, because you do not dictate to clients what to call their quotes. You can fix it at the gate: a local intake folder where everything lands before it moves into the shared folder. What leaves the intake folder is already named the way the team expects.

Files have to sit on the device

Dropbox saves disk space by keeping files in the cloud and showing placeholders in the folder. For a renaming pass that is decisive: Filery works on files in the file system and needs their content to recognise sender, date and document type at all. So mark the folder in question beforehand so that it is fully present on the device, and wait for syncing to finish. The same applies afterwards in reverse: let the new names upload completely before anyone on the team opens the folder. Otherwise colleagues briefly see two versions of the same file.

Set up once: a pattern for client and project folders

Freelancers and small teams do well with a lean pattern: year and month, then client or project code, then document type, then a short keyword. That is enough to tell quote, order, invoice and sign-off of a project apart reliably in the file list without the names growing unreadably long. Skip version suffixes such as final or new, because experience shows they cannot be sustained and are useless by the third round; a date does the same job more reliably. You define the pattern in Filery once, and it is set for every run afterwards.

Project closure as a fixed step

The best moment for a pass is project closure, when cleaning up and invoicing happen anyway. The sequence: make the folder present on the device, run Filery over the project folder, walk the suggestion list, confirm, wait for the sync. The project then has a file list that is still readable a year later, even when nobody remembers exactly what it was about. Announce the pass briefly in the team if several people work in that folder, so nobody has a file open in parallel and conflict copies appear. A fixed slot at project closure is more reliable than the intention to tidy up continuously.

What Filery does not do, and how it handles content

Filery builds no folder structure, moves no files into client folders, manages no sharing, and does not replace a document management system. It changes filenames, with preview, confirmation and a history, and stops precisely there. On content: the app reads the PDF on your computer and transmits the text encrypted for AI analysis. The recognised details come back, such as date, sender and document type, and the new name is built from them; the renaming then happens again in your file system, and the files are not stored permanently. Yes. Filery does not sign in to Dropbox; it works on the synced folder on your device. Whether the account is personal or business makes no difference for that, and no approval from your administrators is required. The same holds for shared team folders, as long as they sit on your device.

Yes, provided they are present on the device and not merely shown as placeholders. Dropbox then carries the new names up to the cloud. Make sure syncing has completed both before and after the run. Otherwise renaming and syncing work against each other.

That depends on how the link was created and which level it points to. Spot-check critical links after the run, and for larger cleanups give the team a brief heads-up before you start. For links that went out to clients, check each one individually.

No. Creating folders and filing documents into them stays your job, as does moving files from the intake folder into the shared folder.
